Set Up QR Codes and Tables
OpenRate uses reusable QR cards that servers assign to a table’s bill from a shared tablet. Set up the tablet once, make sure the location’s tax rate is in place, then publish each bill and hand the card to the guests. The card is freed automatically when the bill is fully paid.
Before service
- An owner or manager pairs a shared tablet to the location once; no owner or manager session stays open on the tablet
- Set the location’s tax rate, which the bill split relies on
- Prepare enough QR cards for your busiest service: each live bill uses one card
- Each card has its own number, visible in the Codes QR section of the dashboard
Publish a bill
- On the paired tablet, open Floor and select your name as the server
- Choose the table and an available QR card
- Enter the full bill total, including taxes and before the tip
- Check the subtotal and tax split, then select Publish bill
- Give the QR card to the guests
What guests see
Scanning the card opens the bill currently assigned to it, with the total, what has been paid and what remains. A card that is not assigned to any bill shows an empty receipt screen and no bill, so a stray scan reveals nothing.
When a card is available again
- The card becomes available automatically once the full balance is confirmed as settled
- A partial payment keeps the card in use
- A pending or uncertain payment is not a confirmed settlement and does not release the card
- No manual closing button is needed to free it
If something goes wrong
- A card lost before payment can be marked lost and replaced while the bill is kept
- An unpaid bill can be canceled when your permissions allow it
- If the tablet’s browser data is cleared, an owner or manager pairs it again
Who can do what
Servers on the tablet can publish bills and follow payments. Managing the location, the payment settings and refunds is reserved for owners and managers, and refunds can only be requested from the dashboard.
Run a first check
Before the first service, publish a bill with a manager, scan the card on a phone, check the amounts and the language, then cancel the bill before any payment is made. To see how bill sharing works for a group, read our article on splitting the bill and tips at the table.
